Choosing a salon booking system in Northern Ireland: what to check first

An online booking system should save you time on the phone and cut no-shows. A bad fit costs you monthly fees, booking fees and customers who give up halfway through. Use this checklist to compare options before you sign up, including ours.

Start with what you actually need

Before you look at features, write down how bookings come in now (phone, Instagram DMs, walk-ins, WhatsApp), how many staff take appointments, and what goes wrong most often. If your biggest problem is no-shows, deposits and reminders matter more than fancy reports. If it is time on the phone, the booking page and how easy it is for customers matter most.

The checklist

1. The total cost, not just the headline price

Add up everything for a typical month: the subscription, any setup fee, per-booking or per-staff charges, text message charges, card processing fees and any commission on new customers found through a marketplace. Some systems are cheap to start and expensive once you're busy.

2. Contract and cancellation

Can you leave any time, or is there a 12-month contract? Is there a notice period? Find out before you put months of bookings into it.

3. How it looks to your customers

Book an appointment yourself on your phone, as a customer would. Count the taps. Do customers have to create an account or download an app? Every extra step loses people.

4. A link you can share anywhere

Most bookings start on Instagram, Facebook, Google or WhatsApp. You need one clean link for your Instagram bio, your Google Business Profile and quick replies to DMs.

5. Deposits

6. Your no-show and cancellation policy

Customers should see and agree to your policy before they confirm. Check that you can write it in your own words.

7. Reminders and confirmations

Does it send a confirmation and a reminder automatically? By email, text or both? Are texts charged extra? Can customers cancel or move a booking themselves?

8. Staff, services and hours

Can you set different services and times per staff member, buffer time between appointments, breaks, and closed dates for bank holidays? Northern Ireland has 10 bank holidays, including St Patrick's Day and the Twelfth, so check you can block them easily.

9. Your data

Your customer list is valuable. Can you export it, with booking history, if you leave? Where is the data stored? You are responsible for customer data under UK GDPR, so the provider should explain clearly how it is protected. The ICO's advice for small organisations is a good plain-English starting point.

10. Marketplace or your own page?

Some booking apps list you in a marketplace alongside competitors and may charge commission for new customers found there. Others give you a page that is only yours. Decide which you want.

11. Support

Who do you contact when something goes wrong on a Saturday morning? Is there setup help, or are you on your own?

12. Does it work with what you already use?

Check calendar invites for customers, how it fits with your card machine, and whether your website or chat tools can link to it.
